1.1. These promotion terms and conditions (hereinafter: the “Promotion Terms and Conditions”) apply to the Bike To Work Days promotion (hereinafter: the “Promotion”). The Promotion is organised by Lease a Bike, part of Bike Mobility Services Belgium B.V. (“BMS”), located at Conservenweg 3C (2940) in Stabroek, Belgium, to promote Lease a Bike and in support of Mobiel 21 Belgium.

1.2. BMS (Conservenweg 3C, 2940 Stabroek) is the legal entity responsible for all collection and processing of your personal data in connection with this Lease a Bike Promotion. BMS is part of Pon Holdings B.V. and its affiliated companies (“Pon”). BMS and Pon are committed to respecting and protecting your privacy and safeguarding the personal data you share with us.

1.3. Although the Promotion is promoted not only via email to companies that are customers of Lease a Bike during the Promotion and via the campaign page on the Lease a Bike website (https://www.lease-a-bike.be), but also on Lease a Bike’s Instagram, LinkedIn and Facebook pages (https://www.facebook.com/leaseabikeBE, https://www.instagram.com/lease_a_bike_be and https://www.instagram.com/lease_a_bike_belgium) (hereinafter: the “Social Media Pages”), Instagram, Facebook and LinkedIn are not involved in or responsible for the Promotion. The Promotion is not sponsored, endorsed and/or administered by Instagram and/or Facebook. Instagram and/or Facebook are in no way connected to and/or liable for the promotion.

1.4. Although the Promotion is advertised in the email newsletter and on the Instagram, LinkedIn and Facebook pages of Yellow B. Cycling B.V. (Team Visma | Lease a Bike) (https://www.instagram.com/teamvisma_leaseabike/, https://www.facebook.com/vismaleaseabike/, https://www.linkedin.com/company/teamvismaleaseabike/), Team Visma | Lease a Bike, as an organisation, is not involved in or responsible for the Campaign. The Campaign is not sponsored, endorsed and/or administered by Team Visma | Lease a Bike. They are in no way otherwise connected to and/or liable for the Campaign.

1.5. Although the Campaign is being used to raise funds for Mobiel 21 (mobiel21.be), they, as an organisation, are not involved in or responsible for the Campaign. The Campaign is not sponsored, supported and/or managed by Mobiel 21. They are in no way otherwise connected to and/or liable for the Campaign. Lease a Bike will only pay out the Total Lease a Bike Donation (as defined in Article 8) upon completion of the Campaign (see also Article 8).

1.6. The campaign is organised by Lease a Bike and is entirely independent of the suppliers, manufacturers or brands of the prizes to be won. These external parties are in no way sponsors, partners or organisers of this campaign and bear no responsibility for the implementation, administration or terms and conditions of the campaign. Any questions, comments or complaints regarding the competition should be addressed exclusively to Lease a Bike and not to the suppliers of the prizes.

Who Can Participate?

2.1. Participation in the Promotion is open exclusively to people who are employed by a company based in Belgium, who are members of Lease a Bike and who are over 18 years of age (hereinafter: the “Participants”). It is not strictly necessary to have a Lease a Bike lease bike.

2.2. By participating in the Promotion, the Participant agrees to these Promotion Terms and Conditions.

2.3. Excluded from participation in the Promotion are all employees and family members of Lease a Bike employees, as well as third parties involved in the promotion.

How and When to Participate?

3.1.1. The Promotion starts on 18 May 2026 at 00:01 and ends on 22 May 2026 at 23:59 (hereinafter: the “Promotion Period”). During the Promotion Period, Participants may submit the kilometres they have cycled during these days to Lease a Bike via the campaign page (hereinafter: the “Campaign Page”) on the Lease a Bike website (www.lease-a-bike.be). The kilometres must be entered on the Campaign Page of the Lease a Bike website by 12:00 on 23 May 2026 at the latest.

3.1.2. An employer of a company that is affiliated with Lease a Bike during the Campaign Period will receive an email prior to the campaign containing a link to promotional materials to raise awareness of the Campaign among employees. A company can also search the Campaign Page using its Company ID to access the company-specific campaign page, where the interim results can be viewed. As soon as at least one employee of the company in question has registered kilometres on this page, the company becomes a participating company (hereinafter: “Participating Company”) and an employee becomes a Participant (as already defined in Article 2.1).

3.1.3. An employee of a company affiliated with Lease a Bike can log their mileage on the company-specific page, which the employee can access via the link shared by their employer, after which they must search using the company’s Company ID or the Contract ID of the employee with a lease bike. Employees without a lease bike from companies registered as customers with Lease a Bike during the Promotion Period may participate by searching for the Company ID of their Participating Company.

3.2. Each Participant may submit their cycled kilometres multiple times during the days via the form on the Campaign Page, providing the distance cycled in kilometres, the date and their work email address. The company page where the kilometres can be registered is accessed using the Company ID of the Participating Company (employer) and/or the Contract ID of the Participant (employee). When an employee submits a ride via the form for the first time after entering the Company ID or Contract ID, the associated company automatically becomes a Participating Company and joins the campaign immediately. The Participating Company does not need to complete any additional steps for this. Furthermore, the Participating Company is under no obligation with regard to the Donation (see also Article 8).

3.3. The kilometres must be entered on the company page for each Participant per ride. If a Participant enters kilometres on multiple occasions, these kilometres will be added together to form a single total number of kilometres cycled, which will constitute the Participant’s personal final result. If it can be demonstrated that the number of kilometres submitted is unrealistic, the Participant will be excluded from taking part in the Campaign. A calculation will also be made of the total number of kilometres cycled within a Participating Company (the sum of all kilometres cycled across all journeys submitted by employees working at the company in question).

Prize

4.1. The company with the highest number of registered kilometres wins eight VIP tickets for the Renewi Tour. Additional services may be provided by Lease a Bike. The company with the most participants wins a social ride with one of the riders from Team Visma-Lease a Bike for 15 people at the winning company’s head office (where possible). The five Employees with the highest number of registered kilometres will each win a €100 voucher to spend in the BBB Cycling webshop. The aforementioned prizes shall hereinafter be referred to individually as a “Prize” and collectively as the “Prizes”.

4.2. In the event of a tie between two or more Participating Companies or Employees, the Prizes will be drawn by lot amongst all Companies/Employees with the same number of kilometres/participants. The winner will be determined via the website https://wheelofnames.com.

4.3. The Prizes are non-transferable and cannot be exchanged for alternative prizes or cash.

4.4. Lease a Bike reserves the right to cancel a Prize that has been won in the event of circumstances beyond its control that render the awarding or fulfilment of the Prize irresponsible or impossible.

4.5. If a winner of a Prize is not permitted by their employer to accept this Prize for any reason whatsoever, the right to the Prize shall lapse. In this case, the next company or employee in the relevant ranking shall receive the Prize.

Claiming a Prize

5.1. The winner of a Prize will be notified by means of a personal email sent to the email address provided by the Participant. This email will specify a deadline by which the Prize must be accepted.

5.2. Following the announcement of the winners, they must contact Lease a Bike by replying to the email to confirm that they wish to accept the Prize. In that email to Lease a Bike, the winners must state their name and the requested contact details. Only then can the Prize be accepted.

5.3. If a winner does not send a confirmation email or otherwise respond within 3 days of Lease a Bike emailing the winner, the claim to the Prize reverts to Lease a Bike and Lease a Bike may decide to award the Prize to another Participant.

Personal Data and Privacy

6.1. By participating in the Promotion, the Participant consents to the processing of his or her personal data by Lease a Bike and/or by parties engaged by Lease a Bike in accordance with the provisions of this article.

6.2. In order to enable participation in the Promotion, the selection of winners by draw and the awarding of the Prizes, it is necessary for Lease a Bike B.V. to process certain personal data of the winners. Lease a Bike processes the email address used to enter the Promotion in order to determine the winners and to contact them. Furthermore, a winner must provide their contact details in an email to Lease a Bike so that the collection of the Prize can be arranged. The Participant guarantees that all information provided is correct and complete.

6.3. Lease a Bike (i) will not collect more personal data than is necessary for the purpose of awarding the Prize and will use the personal data collected solely for that purpose, which also includes the possible disclosure of such personal data to any person who is in any way directly or indirectly involved in or connected to the organisation of the Promotion; and (ii) will not transfer the personal data collected outside the European Economic Area, unless this is permitted under the General Data Protection Regulation.

6.4. Personal data collected from the winner will be deleted no later than four weeks after the end of the Promotion Period, unless the winner has indicated that they wish to receive mailings from Lease a Bike.

Publicity

7.1. By taking part in the Campaign, Participants agree that Lease a Bike may publish the name and the number of kilometres of the winning Participant in a social media post on its social media pages following the conclusion of the Campaign.

7.2. By participating in the Campaign, Participants agree that Lease a Bike may publish the name of the winning company and the number of kilometres cycled by that company in a social media post on its Social Media Pages following the conclusion of the Campaign.

7.3. By participating in the Promotion, Participants agree that Lease a Bike may take photographs during the ‘VIP tickets’ and ‘social ride’ prizes and, in agreement with the Participant and the relevant Participating Company, may share a photograph on its Social Media Pages.

Donation

8.1. By participating in the Campaign – that is, from the moment a Participant employed by the relevant company first registers the kilometres cycled on the Lease a Bike website – the kilometres cycled by the Participant will count towards a donation of bicycles by Lease a Bike to Mobiel 21.

8.2. From that moment onwards, every kilometre cycled by employees of companies affiliated with Lease a Bike during the Campaign Period will count towards the donation to be made by Lease a Bike to Mobiel 21. Lease a Bike undertakes to donate €0.23 per kilometre cycled in the form of bicycles to Mobiel 21.

8.3. At the end of the Campaign, Lease a Bike will calculate the total number of kilometres cycled by all Participating Companies during the Campaign Period and determine the total amount to be donated based on this total number of kilometres cycled multiplied by €0.23 per kilometre. Together, this constitutes the total donation that Lease a Bike will make to Mobiel 21 in the form of bicycles.

8.4. Lease a Bike will pay the total Lease a Bike Donation to Mobiel 21 by 1 September 2026.

Liability

9.1. Lease a Bike accepts no liability for any damage, of whatever nature, arising from participation in the Promotion, including damage caused by (i) inaccuracies in the prize description(s), (ii) actions arising from the Promotion, (iii) any tax, levy or other costs that prize winners are required to pay at any time in connection with the Prize won, (iv) (defects in) a Prize to be awarded by it. Lease a Bike makes no warranties regarding the Prize to be provided by it.

Miscellaneous

10.1. Lease a Bike reserves the right to terminate the Promotion without further notice, or to amend these Promotion Terms and Conditions without prior notice. The amended Promotion Terms and Conditions will be published on the Lease a Bike website (www.lease-a-bike.be).

10.2. If Lease a Bike detects fraud in connection with participation in the Promotion, Lease a Bike has the discretionary power not to award the relevant Prize and to exclude the fraudulent Participant(s) from further participation in the Promotion.

10.3. No correspondence will be entered into regarding the result, except for the email message to Lease a Bike in which a winning Participant provides his/her name and contact details.

10.4. In cases not covered by these Promotion Terms and Conditions, a decision will be made by Lease a Bike.

10.5. The Promotion and these Promotion Terms and Conditions are governed by Belgian law. Any disputes arising from or otherwise relating to the Promotion shall be submitted to the competent court in Brussels, which shall have exclusive jurisdiction.

10.6. Lease a Bike acts in accordance with the Code of Conduct for Promotional Games of Chance.

Complaints and Contact

11.1. Complaints regarding the Promotion may be submitted in writing to Lease a Bike at the postal address specified in clause 1.1 or by contacting our customer support department on (+32) 2 808 51 84. Lease a Bike will respond to any complaint within two weeks of the date on which it is received.
