General
1.1. These terms and conditions (hereinafter: the "Terms and Conditions") apply to the Bike To Work Days campaign (hereinafter: the "Campaign"). The Campaign is organized by Lease a Bike, a part of Bike Mobility Services Belgium B.V. ("BMS"), located at Conservenweg 3C, 2940 Stabroek, Belgium, to promote Lease a Bike and support Mobiel 21 Belgium.
1.2. BMS is the legal entity responsible for all collection and processing of your personal data in connection with this Lease a Bike Campaign. BMS is part of Pon Holdings B.V. and its affiliated companies ("Pon"). BMS and Pon are committed to respecting and protecting your privacy and the personal data you share with us.
1.3. Although the Campaign is promoted via email to companies that are customers of Lease a Bike during the Campaign, and through the campaign page on the Lease a Bike website (https://www.lease-a-bike.be), it is also promoted on the Instagram, LinkedIn, and Facebook pages of Lease a Bike (https://www.facebook.com/leaseabikeBE, https://www.instagram.com/lease_a_bike_be, and https://www.instagram.com/lease_a_bike_belgium) (hereinafter: the "Social Media Pages"), Instagram, Facebook, and LinkedIn are not involved in or responsible for the Campaign. The Campaign is not sponsored, endorsed, or administered by Instagram and/or Facebook. Instagram and/or Facebook are in no way connected and/or liable for the Campaign.
1.4. Although the Campaign is promoted in the email newsletter and on the Instagram, LinkedIn, and Facebook pages of Yellow B. Cycling B.V. (Team Visma | Lease a Bike) (https://www.instagram.com/teamvisma_leaseabike/, https://www.facebook.com/vismaleaseabike/, https://www.linkedin.com/company/teamvismaleaseabike/), Team Visma | Lease a Bike as an organization is not involved in or responsible for the Campaign. The Campaign is not sponsored, endorsed, or administered by Team Visma | Lease a Bike. They are in no way connected and/or liable for the Campaign.
1.5. Although the Campaign is used to raise funds for Mobiel 21 (mobiel21.be), they as an organization are not involved in or responsible for the Campaign. The Campaign is not sponsored, endorsed, or administered by Mobiel 21. They are in no way connected and/or liable for the Campaign. Lease a Bike will only pay out the Total Lease a Bike Donation (as defined in Article 8) upon completion of the Campaign (see also Article 8).
Who Can Participate?
2.1. Participation in the Campaign is open exclusively to individuals employed by a company located in Belgium, affiliated with Lease a Bike, and over 18 years of age (hereinafter: the "Participants"). It is not necessarily required to have a lease bike from Lease a Bike.
2.2. By participating in the Campaign, the Participant agrees to these Terms and Conditions.
2.3. Excluded from participation in the Campaign are all employees and family members of employees of Lease a Bike and third parties involved in the campaign.
How and When to Participate?
3.1.1. The Campaign starts on May 12, 2025, at 00:01 AM and ends on May 16, 2025, at 11:59 PM (hereinafter: the "Campaign Period"). During the Campaign Period, Participants can submit their cycling kilometers for these days to Lease a Bike via the campaign page (hereinafter: the "Campaign Page") on the Lease a Bike website lease-a-bike.be. The kilometers must be entered on the Campaign Page of the Lease a Bike website by May 17, 2025, at 12:00 PM at the latest.
3.1.2. An employer of a company that is affiliated with Lease a Bike during the Campaign Period will receive an email prior to the campaign with a link to promotional materials to promote the Campaign to employees. A company can also search on the Campaign Page with its Company ID to access the company-specific campaign page, where the current status is displayed. Once at least one employee of the respective company has registered kilometers on this page, the company becomes a participating company (hereinafter: "Participating Company"), and an employee becomes a Participant (as defined in Article 2.1).
3.1.3. An employee of a company affiliated with Lease a Bike can register kilometers on the company-specific page, where the employee can access via the link shared by the employer, and then search by the Company ID of the company or Contract ID of the employee with a lease bike. Employees without lease bikes from companies that are customers of Lease a Bike during the Campaign Period can participate by searching for the Company ID of their Participating Company.
3.2. Each Participant can submit the cycled kilometers multiple times during the days via the form on the Campaign Page, based on cycled distance in kilometers, date, business email address. The company page where the kilometers can be registered is reached by the Company ID of the Participating Company (employer) and/or the Contract ID of the Participant (employee). When a ride is submitted for the first time via the form by an employee after entering the Company ID or Contract ID, the corresponding company automatically becomes a Participating Company and immediately participates. The Participating Company does not have to go through any additional steps for this. In addition, the Participating Company is not obligated with regard to the Donation (see also Article 8).
3.3. The kilometers must be entered per Participant per ride on the company page. If the Participant enters kilometers multiple times, these kilometers are added up to a total number of cycled kilometers, resulting in the Participant's personal final result.
Prize
4.1. The Company with the highest number of registered kilometers, wins eight VIP tickets to the Renewi Tour. Additional services can be provided by Lease a Bike if necessary. The Company with the most participants wins a cycling clinic by Team Visma-Lease a Bike for 15 people at the headquarters of the winning company (if possible), including cycling training in the region. The five Employees with the highest number of registered kilometers will each win a €100 voucher to spend in the BBB Cycling webshop. Each of the aforementioned prizes hereinafter referred to individually as a “Prize” and collectively as the “Prizes”.
4.2. If an ex-eaquo between two or more of Participating Companies or Employees, the Prizes will be raffled off among all Companies/Employees with this number of kilometers/participants. Based on the website https://wheelofnames.com, the winner will be determined.
4.3. The Prizes are non-transferable and cannot be exchanged for alternative prizes or cash.
4.4. Lease a Bike reserves the right to cancel a won Prize in case of force majeure situations that make the awarding or execution of the Prize irresponsible or impossible.
4.5. If a winner of a Prize is not allowed to accept the Prize for any reason by his/her employer, the right to the Prize expires. In this case, Lease a Bike B.V. will select a new winner through a lottery.
Claiming a Prize
5.1. The winner of a Prize will be notified by a personal email to the email address provided by the Participant. This email will mention a deadline by which the Prize must be claimed.
5.2. After the winners have been announced, they must contact Lease a Bike via a response to the email to confirm that they wish to receive the Prize. In that email to Lease a Bike, the winners must provide their name and the requested contact information. Only then can the Prize be claimed.
5.3. If a winner does not send an email for confirmation within 3 days after Lease a Bike has emailed the winner, or otherwise responds, the right to the Prize reverts back to Lease a Bike, and Lease a Bike may decide to award the Prize to another Participant.
Personal Data and Privacy
6.1. By participating in the Campaign, the Participant agrees to the processing of his/her personal data by Lease a Bike and/or by parties engaged by Lease a Bike in accordance with the provisions of this article.
6.2. To enable participation in the Campaign, the determination of the winners by drawing lots, and the provision of the Prizes, it is necessary for Lease a Bike B.V. to process certain personal data of the winners. Lease a Bike processes the email address used to participate in the Campaign to determine the winners and to contact them. Furthermore, a winner must provide his/her contact details in an email to Lease a Bike so that the Prize can be scheduled for receipt. The Participant guarantees that all provided data are correct and complete.
6.3. Lease a Bike (i) will not collect more personal data than necessary for the awarding of the Prize and will use the collected personal data exclusively for that purpose, including any provision of such personal data to anyone who is directly or indirectly involved in or connected to the organization of the Campaign, and (ii) will not distribute the collected personal data outside the European Economic Area, unless permitted under the General Data Protection Regulation.
6.4. Collected personal data of the winner will be deleted no later than four weeks after the end of the Campaign Period, unless the winner has indicated that he/she wishes to receive mailings from Lease a Bike.
Publicity
7.1. By participating in the Campaign, Participants agree that Lease a Bike will publicly announce the name and number of kilometers of the winning Participant in a social media post on its Social Media Pages after the Campaign.
7.2. By participating in the Campaign, Participants agree that Lease a Bike will publicly announce the name of the company and the number of kilometers of the winning company in a social media post on its Social Media Pages after the Campaign.
7.3. By participating in the Campaign, Participants agree that Lease a Bike may take photographs during the 'bike clinic' Prize and may share a photo on its Social Media Pages in accordance with the Participant and the respective Participating Company.
Donation
8.1. By participating in the Campaign, i.e., from the first moment a Participant who works at the respective company registers cycled kilometers on the Lease a Bike website, the cycled kilometers by the Participant will count towards a donation in bicycles by Lease a Bike to Mobiel 21.
8.2. From that moment on, every cycled kilometer by employees of companies affiliated with Lease a Bike during the Campaign Period counts towards the donation that Lease a Bike will make to Mobiel 21. Lease a Bike undertakes to donate €0.23 for each cycled kilometer to Mobiel 21.
8.3. After the Campaign ends, Lease a Bike will calculate the total number of cycled kilometers by all Participating Companies during the Campaign Period and calculate the total donation amount based on this total number of cycled kilometers x €0.23 per kilometer. Together, this forms the total donation that Lease a Bike will pay out in bicycles to Mobiel 21.
8.4. Lease a Bike will fulfill the total Lease a Bike Donation to Mobiel 21 by September 1, 2025.
8.5. The Participating Company is responsible for making this Additional Independent Donation. This may and is not further required by Lease a Bike and is the choice of the Participating Company. Lease a Bike encourages this through the reminder email afterward but bears no further responsibility for this.
Liability
9.1. Lease a Bike accepts no liability for any damage, of whatever nature, arising from participation in the Campaign, including damage caused by (i) inaccuracies in the prize descriptions, (ii) actions arising from the Campaign, (iii) any taxes, levies, or other costs that prize winners are required to pay at any time in connection with the won Prize, (iv) (defects in) a Prize to be awarded by it. Lease a Bike does not provide any guarantees regarding the Prizes it awards.
Miscellaneous
10.1. Lease a Bike reserves the right to terminate the Campaign without further notice or to amend these Terms and Conditions without prior notice. The amended Terms and Conditions will be published on the Lease a Bike website lease-a-bike.be.
10.2. If Lease a Bike detects fraud in participation in the Campaign, Lease a Bike has the discretionary authority to not award the relevant Prize and to exclude the fraudulent Participant(s) from further participation in the Campaign.
10.3. The decision on the outcome cannot be contested, except for the email to Lease a Bike in which a winning Participant provides his/her name and contact information.
10.4. In cases not provided for in these Terms and Conditions, a decision will be made by Lease a Bike.
10.5. Belgian law applies to the Campaign and these Terms and Conditions. All disputes arising from or otherwise related to the Campaign will be submitted to the competent court in Brussels, which has exclusive jurisdiction.
10.6. Lease a Bike operates in accordance with the Code of Conduct for Promotional Games of Chance.
Complaints and Contact
11.1. Complaints about the Campaign can be submitted in writing to Lease a Bike at the postal address mentioned in Article 1.1 or by contacting our customer support department at (+32) 2 808 51 84. Lease a Bike will respond to a complaint within two weeks of the date of the complaint.
