How do I become a Lease a Bike-dealer?

By filling the registration form on the website. After this we will receive all information needed to partner up. The moment everything is ready and accepted, you will receive a message in your mailbox to confirm your account.

How do I login to your platform?

This is possible via the website or at the top right of this page, where you will find the login button. Please mind the first time you log in via the activation link in the e-mail. If this did not work, there probably was too much time between creating your account and your activation (safety first!). If this happens, you can easily get a new link by going to this link and clicking on ‘forgot password’. Enter your e-mail address and you will receive a new link.

How do I become a Lease a Bike dealer?

Are there registration or subscription costs associated with Lease a Bike?

There are no costs to sign up or use the platform.

Ja, de werkgever bepaalt per werknemer het maximum budget voor de fiets. Wat het precieze bedrag is, zie je direct nadat je de bestelcode van de werknemer ingevoerd hebt bij aanmaken contract. Het is belangrijk dat zowel de werknemer als de fietshandelaar zich aan deze richtlijnen houdt. We vragen je ook om dit te bevestigen door onderaan de pagina een vakje aan te vinken waarmee je dit bevestigt.

Is there is a maximum amount for a customer?

Yes, as the employer determines the budget per bicycle you will see the exact amount immediately after you have entered the employee's order code. It is important that both the employee and the bicycle dealer adhere to these guidelines. We also ask you to confirm this by ticking a box at the bottom of the page.

Can a customer also lease accessories with the bicycle?

Yes, that's possible and it is also included in the lease price. Anything that can be attached to a bicycle, will be leased with the bicycle. A helmet and lock can of course be leased. Clothing and GPS computers are not allowed.

Do I also have to save the customer in my own system?

Yes, we recommend you to do this. If a bicycle needs to be ordered, it is handy to save name, address and telephone details of the customer. This way you are able to inform the customer when the bicycle has arrived.

Does Lease a Bike sell every brand and type of bicycle?

Yes, we sell all brands and all types of bicycles: from e-bike to racing bike and from mountain bike to speed pedelec. Even an electric bicycle is available.

What do I do when there is a customer who wants to start leasing bikes?

It is important that the customer first checks whether his/her company is already connected to Lease a Bike. If this is not the case, it is best that he/she mentions to the HR manager that he/she would like a lease bike. The HR manager can then contact us. Alternatively, the client can contact us directly, and we will then contact the company.

Tip: Always give the customer a Lease a Bike flyer.

How can you bring in customers for leasing?

As a dealer you can bring in customers if you are part of our network. Contact us if you have companies in your local network who want to start leasing!

How is the commission calculated?

This will be calculated on the total amount of the bicycle - including accessories.

Do I have to sign a contract to become a Lease a Bike bicycle dealer?

Yes! After you are registered via our registration form on the website, we will create an account for you. Once this has been created, you will receive an email to confirm your account and sign the contract with Lease a Bike digitally.

How does it work with service & maintenance?

For service and maintenance, you can go to the Lease a Bike service portal. You will find a link to the service portal in the Lease a Bike portal. Here you can claim your maintenance and repairs.

What are the steps I should take when a customer comes with a damage claim?

In case of damage, an employee will come to your shop. You can then fill in the online damage and/or theft form available on our platform.

What do I do when a bike is stolen?

The customer reports it to the police and you can report it via the online damage and/or theft form on our platform. Lease a Bike is the contact person and forwards the form to our insurance company, which pays out the money.

What can I claim in the service platform?

Service and maintenance can be claimed from the maintenance platform. Warranty claims can be submitted to the brand itself. This is done through the normal channels known to your dealer. Damage and theft must be reported on the Lease a Bike damage and/or theft form.

What about warranty claims?

Warranty claims can be made with the brand itself, through the normal channels known to the dealer.

  • You can contact Lease a Bike for service and maintenance claims;
  • You can contact Lease a Bike for damage claims;
  • You can contact the manufacturer for warranty claims.
Is roadside assistance included in the leasing contract?

Each contract includes roadside assistance in case the employees get stuck on the road.

How does the maintenance platform work with my current POS system?

The maintenance platform connects different cash register systems to the platform. Check the list below to see if your cash register system is included:

Is your cash register registration system not linked yet? Please contact the helpdesks of Cyclesoftware, Wilmar, Vendit or Adsoft respectively. For this your username and password are needed (see mails from Ubench).

What if I do not have a POS system?

You don't necessarily have to have one; you can also work directly in the Lease a Bike maintenance platform. A working internet connection is a prerequisite.

What should I do if I fail to log in to the maintenance platform?

Please contact +32 2 808 51 84 and choose option 2 if you have any questions about logging in, the content or budget of the service package or if you want to make a request via the platform and need assistance.

What happens if the budget of the service & maintenance package is exceeded?

In this case, you are reimbursed partly Lease a Bike. The excess of the annual budget of the employee must be invoiced directly to the employee.

How do I start an application in the service platform?

After you have logged in, you will see 6 tiles. Click on the first tile: "New request". Fill in the frame number or the contract number of the customer. If your request is interrupted, there is a number in the lower right corner for each tile where you can pick up the request again. You can then go through the rest of the tiles.

How do I know which Service and Maintenance package the customer has?

The selected service and maintenance package is linked to the frame number. The frame number can be found in the LEASE A BIKE platform. The options are: Basic (up to €100 / year), Standard (up to €150 / year), Speed-pedelec (up to €300 / year) and the Premium package (no limit).

How do I complete my application?

Your request will be available under the "Request approved" tile. Finish the process here by entering the correct dates and then create the invoice with your own reference (invoice number). Send it and save the PDF created in the platform for your internal records. After this, the invoice will automatically be sent to us and paid to you.

Have you forgotten your password? Then you can click on “forgot password” via the login page. Enter your e-mail address and you will receive a link by e-mail to create a new password.

What resources do I need for the platform?

Not much: a computer with an internet connection and Google Chrome or Firefox browser.

How is data protection guaranteed on the Lease a Bike platform?

Our platform complies with all guidelines of the General Data Protection Regulation (GDPR) and is continuously tested for security.

What are the steps when a new customers comes in my store?

Step 1 - Log in to the platform

Go to the platform and login with your mail and password.

Step 2 - Customer information

The customer has an email from lease a bike with the following information:

• Order code 

• Company guidelines 

Step 3 - New contract

a) In the platform you see at your left "contracts". There you see an overview of all running contracts and you can start a new contract by clicking "new contract". Here you fill the order code of the customer.

b) Agree to follow the company guidelines of the customer.

Step 4 - Finalize contract

a) Fill out the chosen bicycle and the service & maintenance package

b) The customer receives a contract between him/her and his/her employee and after agreeing will receive a pincode. You fill out the pincode, the serial number of the bike and check her/his ID.

What do I need to file a new customer?

You can start a new contract when the customer (employee of a company) has received an order code of the employer. The employee receives that code after the employer has signed a contract with Lease a Bike.

I cannot select the article number or the brand of the bike?

It may be that the item or the brand is not in the selection, in which case another manufacturer can be selected. It is very important that the exact description of the model and article number are noted. These ensure that the bicycle is insured at new value in the event of theft. The amounts can be entered without separators for thousands.
